Step 2: Submission and admissibility of the administrative file

After filling out the application file, which highlights all the skills acquired through the candidate's professional career that correspond to the ENSAIT engineering diploma's skills reference framework, the candidate sends the file by registered mail with acknowledgement of receipt or drops it off at the studies secretariat upon presentation of a proof of deposit.

The VAE Commission, composed of the VAE coordinator and the competition coordinator, decides whether or not the application is administratively admissible based on the examination of the VAE file. This decision must be motivated and will be communicated by mail or e-mail.

CAUTION: Any incomplete file will not be processed.

Step 3: Interview

If the file is administratively admissible, the candidate will be called for an interview with the VAE manager so that the latter can judge his/her motivation and determination. During this interview, the candidate may be asked to perform some simulations. At the end of the interview, if the decision is unfavorable, a letter explaining the reasons for the refusal will be sent to the candidate.

In the case of a favorable decision, the candidate will be notified of the authorization to continue the VAE procedure. He/she must then :

• return the stub attached to the notification specifying his/her choice for a VAE with support;
• register with the ENSAIT schooling service and enclose payment, within 15 days, of the registration fee, which amounts to 2001 euros for the year 2020-2021 and is broken down as follows
  • tuition fees : 601 euros for the year 2020-2021 (these fees are fixed each year by ministerial circular);
  • accompaniment: 1400 euros.

The administrative registration is only valid for 12 months. After this period, the candidate must renew his or her administrative registration request by registered letter with acknowledgement of receipt. Tuition fees are due for the new academic year. Coaching fees may be charged in addition depending on the candidate's needs and/or the use of the previous year's coaching.

Reminder: The candidate can benefit from a leave of absence for the validation of acquired experience (VAE) instituted by the decree n° 2002-795 of May 3, 2002.

Step 4 : Accompaniment

Accompaniment is above all a voluntary step on the part of the candidate. It constitutes a methodological support for the analysis of the experience for the construction of the VAE file with reference to the diploma in question. It consists of individualized methodological assistance that allows the candidate to analyze his or her activities and translate them into terms of skills, abilities, and knowledge, with respect to the targeted reference framework. There is no obligation of results. The elaboration of a complete file, including elements illustrating the candidate's career path, takes place over a period of 6 to 8 months during which the candidate will benefit from a maximum of 8 hours of face-to-face meetings and remote exchanges. The support also includes a reading of the file and preparation for the interview with the jury. Support must begin in the month following registration. To carry out this support, a tutor is appointed by the VAE Commission whose main missions will be:

• Analyze the candidate's professional experience in order to determine the competencies acquired with regard to the ENSAIT engineering diploma's competency framework;
• Improving the writing of the candidate's file;
• Discussion with the candidate on the determination of the subject of the candidate's real or reconstructed professional situation, which will be the subject of a written report of at least sixty pages and a presentation to the Jury;
• The possible recommendation for additional training in order to reinforce or complete the candidate's skills according to the skills reference framework;
• Information about the interview with the jury;
• Support is provided on the ENSAIT premises.

Step 5: Writing the presentation file

The candidate proposes one (or more) subject(s) of real or reconstructed professional situations that he/she will present to the jury in the form of a written report of at least sixty pages. This subject is subject to prior validation by the VAE supervisor.

CAUTION : The VAE file is not a simple formality. It is demanding, complex and requires a strong involvement of the candidate.

Indeed, it includes a detailed personal presentation, a statement of the candidate's motivations and the elements necessary for the jury to understand his or her approach.

It also includes an analysis of experience (definition of duties, content of tasks performed, etc.) and an assessment of experience by translating skills into knowledge, know-how and aptitudes. It allows for an assessment of the candidate's personal and professional itinerary, skills and know-how acquired, previous education and training and personal work.

The candidate must endeavor to highlight all of the elements listed above in a clear and comprehensible manner. The jury's assessment will also depend on the quality of the presentation.

Step 6: Examination of the file and interview by the jury

No later than eleven months after the application is submitted, the candidate is invited to attend the jury authorized to rule on the VAE.

The members of the jury are appointed by the Director of ENSAIT at least fifteen days before the jury meeting, in consideration of their skills, aptitudes and qualifications and with a view to achieving a balanced representation of men and women.

The jury must include a majority of teacher-researchers as well as people whose main activity is not teaching and who are competent to assess the nature of the experience, particularly professional experience, whose validation is requested. If there are not enough teacher-researchers to be members of the jury, the jury may also include teachers.

When persons belonging to the company or organization where the candidate has worked are members of the jury, they may not take part in the deliberations concerning this candidate.

The jury examines the candidate's file. This file is composed of :

• A presentation, with reference to the ENSAIT engineering degree, of the knowledge, skills and aptitudes acquired through experience. It includes documents showing this experience and the duration of the various activities in which the candidate has acquired it, as well as, if applicable, certificates corresponding to training courses taken and diplomas obtained previously.
• The report on the candidate's real or reconstructed work situation.

Following the presentation of the subject of the real or reconstructed work situation, the jury interviews the candidate on the basis of the file presented.

The jury assesses the nature of the candidate's acquired experience based on the VAE file submitted and the interview.

The objective of the interview is to verify the skills, aptitudes and associated knowledge acquired as well as the coherence of the project. It also allows for additional elements or details to be provided concerning the candidate's professional career and activities. These achievements are evaluated in relation to the diploma reference framework.

The jury is sovereign and can, after deliberation :

• either fully validate the candidate's prior learning and decide to award the diploma to him/her, if it considers that the candidate's prior learning is in line with the diploma's expectations and enables him/her to meet the objectives of the diploma.
• or partially validate the candidate's achievements, if it considers that the candidate's achievements are partly in line with the expectations of the diploma and allow him/her to partially meet the objectives of the diploma. In this case, the jury specifies, in its deliberations, the missing abilities and determines the knowledge and skills that it declares to have been acquired and, if necessary, the nature of the knowledge and skills that must be subject to additional testing. The jury indicates in the form of a prescription the nature of the knowledge and skills still to be obtained and the way in which the candidate can achieve this prescription to obtain full validation of the diploma. The candidate is nevertheless free to choose the means he/she wishes to use to acquire the missing skills.

In the case of partial validation, the VAE jury makes proposals to the candidate as to the nature and method of acquiring the necessary knowledge and skills (training, internship, evolution of the professional activity, report, etc.), as well as the methods of complementary control. This provision must enable the best possible response to be made to the candidate's professional situation.

The follow-up of the candidate during the complementary acquisition phase, whatever the mode of acquisition chosen, is done by a member of the jury who has been designated for this follow-up at the time of the jury meeting. A deadline is set and communicated to the candidate. Partial validation of a diploma is acquired definitively.

or refuse to grant all or part of the diploma requested, giving reasons, if it considers that the candidate's achievements do not enable him/her to meet the objectives of the diploma. The procedure stops. Partial validation of a diploma is definitive.

In all cases, the president of the jury sends a report to the director of ENSAIT specifying the extent of the validation granted and, if necessary, the nature of the knowledge and skills that must be subject to additional testing.

The final decision will be notified by the Director of ENSAIT.

register with the ENSAIT schooling service and enclose payment, within 15 days, of the registration fee of 601 euros for the year 2020-2021 (this amount corresponds to the tuition fees for an engineering program and is set each year by ministerial circular).

The administrative registration is only valid for 12 months. After this period, the candidate must renew his or her administrative registration request by registered letter with acknowledgement of receipt and pay the tuition fees.

Registration for the VAE is mandatory in September of the academic year.
